Tenant dossiers that don't live in your inbox.
Applications, guarantor declarations, handover protocols, defect reports — collected online, encrypted on the applicant's device, stored encrypted in Switzerland. You read them. Nobody else can, and neither can we.

One flat, forty dossiers, and every one of them a liability.
Four problems every Swiss property manager recognises — and what each one actually costs you.
Paper dossiers handed over at the viewing
Thirty folders in a bag after a Saturday viewing: ID copies, salary slips, debt-register extracts. One of them gets chosen, the other twenty-nine sit in a drawer because nobody wants to be the person who binned an applicant's passport copy.
One link on the listing — every dossier arrives structured, complete and comparable, with nothing to carry home.
ID copies and salary slips by plain e-mail
The rest arrive as e-mail attachments, forwarded to the owner, copied to a colleague, and still sitting in a shared mailbox two years later — a financial and identity profile per applicant, unencrypted.
One link replaces the e-mail — sealed the moment the applicant presses submit.
Free form tools that keep what you collect
The quick online form is set up in ten minutes — and stores income, family situation and identity documents on servers outside Switzerland, with trackers on the page and terms that change without notice.
Encrypted submissions stored in Switzerland, zero trackers, and a provider that cannot read the answers.
Handover protocols that fall apart at the deposit
A scribbled defect list, a phone photo somewhere on WhatsApp, two signatures on a form nobody can find. When the deposit is disputed months later, the evidence is scattered across three people's devices.
On-screen signature, submission timestamp, photos attached to the protocol, and an audit log of every export and deletion.
Applicant data you can actually delete.
Answers are encrypted in the applicant's browser before they travel. What reaches our Swiss servers is a sealed package that only your Vault key can open — and when the flat is let, the rejected dossiers are deleted for real, in bulk, in one action.
Sealed on the applicant's device
Income, employer, family situation, ID copy — locked before the first byte leaves their phone. No app to install, nothing for the applicant to understand.
Stored encrypted in Switzerland
Servers, database, file storage and e-mail run on Swiss infrastructure operated by Infomaniak — under Swiss law, in Swiss data centres.
Opened only in your office
Responses decrypt inside your browser with your Vault key. We hold ciphertext — which is also the honest answer to give an applicant who asks what happens to their documents.
The forms your office already runs.
Each one starts from a template in German, French, Italian or English — adapt the questions to your portfolio and publish the same afternoon.
Tenant application
Household, employer, income, references, pets, move-in date — the same questions from every applicant, in a comparable order.
Guarantor & co-tenant declarations
Solidary liability, guarantor details, subletting requests — signed on screen and stored encrypted (signature is a paid-plan feature).
Viewing slots & waiting lists
Sign-ups for a viewing, preferred times, interest in the next vacancy — with your dates built into the form's schedule, and an unlock code if the form should stay private.
Documents that come with the dossier
ID, salary slips, debt-register extract, liability insurance — encrypted before upload, on Pro and Business.
Defect reports & handover protocols
Room-by-room condition, meter readings, photos of the damage — one link tenants and caretakers use instead of calling the office.
Owners, condominium & internal forms
Motions for the owners' meeting, caretaker reports, contractor onboarding, absence notes — the same confidentiality, inside the team.
Start from a real-estate template
Four real-estate templates, each in all four languages. Duplicate one, change the questions that do not fit your portfolio, publish.
Tenant application for landlords and property managers — personal details, employment, income, references and documents, encrypted and nFADP-compliant.
Swiss guarantor declaration: identity, financial situation, liability declaration, property details, and signature under OR Art. 492.
Swiss apartment handover protocol: room-by-room condition, meter readings, keys, defects, and mutual signatures under OR Art. 267.
Swiss tenant repair request: defect description, location, photo upload, urgency level, and contact preferences under OR Art. 259a.
From listing to signed lease — four steps.

The link goes on the listing
Put your form link in the advert, send it after the viewing, or hand out the QR code on site. Your agency name, logo and colours.

The applicant completes the dossier
On their phone, in their own language, in the evening — with the salary slip and the debt-register extract to hand instead of promising to send them later.

Your team opens the vault
Dossiers appear in your inbox, decrypted in your browser with the Vault key. Tag by property or shortlist status, and mark as handled.

Shortlist, hand over, delete
Export the chosen dossier as PDF for the owner, or the shortlist as Excel or a ZIP with every document. Then select the rejected applicants and delete them — genuinely, in one action.
What a rejected applicant is entitled to ask.
A tenant dossier is a financial and identity profile of a household, and under the revised Swiss Data Protection Act (nFADP) you may only collect what you actually need and only keep it as long as you need it. Schweizerform is built so your form tool is never the weak link.
Read the full security page →General information, not legal or regulatory advice — compliance always depends on how a tool is configured and used, and on what your cantonal tenancy practice allows you to ask. We do not display ISO 27001 or SOC 2 badges, because we have not completed those audits, and we do not run credit checks or debt-register lookups.
