Contact & Enquiry Form

Professional contact and enquiry form template for Swiss businesses, freelancers, and organisations. Collects name, email, phone, subject, message, and preferred contact method — encrypted in transit and at rest under nFADP. Replaces a plain mailto link with a structured, trackable contact channel.

About this template

This Contact & Enquiry Form is a general-purpose template suitable for any Swiss business, freelancer, association, or organisation that needs a structured way to receive messages from website visitors and potential clients. It replaces the plain mailto link — which exposes your email address to spam harvesting, provides no record of what was sent, and gives you no control over the format of incoming messages — with a clean, trackable, and encrypted contact channel.

What this form collects

  • Full name
  • Email address
  • Phone number (optional)
  • Company or organisation (optional)
  • Subject / enquiry type
  • Message
  • Preferred contact method (email or phone)
  • Data processing acknowledgment (nFADP)

Why a form beats a mailto link

A mailto link exposes your email address to every spam bot that crawls your website. A contact form keeps your address private, structures incoming messages consistently, creates a logged record of every enquiry, and — with Schweizerform — stores submissions end-to-end encrypted so only you can read them. This matters for enquiries that contain business-sensitive information: budget discussions, complaints, legal questions, or personal context from clients.

What makes a good contact form

The best contact forms are short and friction-free. Every additional field reduces the completion rate. The fields in this template represent the practical minimum for a business context: who is contacting you (name), how to reach them back (email), why they are writing (subject), and what they want to say (message). Phone and company fields are optional precisely because not every enquiry type requires them.

The subject / enquiry type dropdown serves two functions. For the sender, it helps them frame their message. For you, it makes routing and prioritisation faster — a support request can go to one inbox, a press enquiry to another, a sales enquiry to the sales team.

Contact forms and nFADP in Switzerland

A contact form collects personal data (name, email, message content). Under the Swiss Federal Act on Data Protection (nFADP / nDSG), you must inform individuals about how their data will be processed and for what purpose. The acknowledgment field in this form covers this requirement. Practical obligations for Swiss businesses running a contact form:

  • State the purpose: contact forms receive and respond to enquiries — this is the stated purpose.
  • Do not use contact form data for marketing without separate consent.
  • Define a retention period for stored messages — delete or anonymise enquiries once they are resolved (6–12 months is common for routine business correspondence).
  • Respond to data subject requests: if someone asks to have their enquiry data deleted, you must be able to action this.

Frequently asked questions

Can I use this form for a multilingual Swiss website?

Yes — this template is available in all four Swiss national languages (German, French, Italian, English). Schweizerform detects the user's language setting and serves the appropriate version. You can set the default language in the form settings and let users switch if needed.

Should a contact form include a CAPTCHA?

CAPTCHAs reduce spam but add friction for real users. Schweizerform's encrypted submission model significantly reduces incentive for spam bots since there is no exposed email address to target. If you receive high spam volumes, consider using the built-in access code feature rather than a CAPTCHA, which avoids the GDPR/nFADP privacy implications of third-party CAPTCHA services.

How quickly should I respond to contact form enquiries?

Swiss business convention expects a response within 1–2 business days for standard enquiries. For sales or support enquiries, faster is better — studies consistently show that response time within the first hour dramatically improves conversion rates for inbound sales leads. Set up email notifications in Schweizerform so you receive new submissions immediately.

Can I route different enquiry types to different team members?

Yes — use Schweizerform's notification settings to configure different email recipients based on form content, or set up a shared inbox rule that filters by the subject field. You can also create separate contact forms for different departments and embed the appropriate one on each relevant page.
